Reporting organizationally to the Payroll & Benefits Manager, the Office Management Specialist will be a key member of the FIFA26 Administration & Workforce México team, and work in close collaboration with the whole team and other key individuals.

THE POSITION

The main responsibilities and oversights of the Office Manager include:
  • General Services Management for offices. 
  • Oversee and maintain office spaces, ensuring a functional and organized working environment.
  • Ensure office efficiency by maintaining common areas, organizing procedures, handling correspondence, overseeing supplies and equipment, and arranging for necessary repairs.
  • Manage all aspects of space/infrastructure planning (ex, moves, additions, changes to workstations) and provide answers, resources, and solutions when requested.
  • Develop and implement efficient office procedures and workflows to enhance productivity and streamline operations. 
  • Manage office supplies, equipment, and pantry, ensuring timely procurement and adequate inventory levels.
  • Manage cleaning, stationary, and pantry providers.
  • Manage the internal civil protection plan & brigade formation and training, ensuring current health and safety policies.
  • Manage NOM's STPS requirements.
  • Administration and control of the Parking lot space.
  • Responsible for managing the company's fleet of utility vehicles, executive vehicles, maintenance, tenancy payments, vehicle verification, and other obligations related to all Hyundai cars received.
  • Arrange regular testing for electrical equipment and safety devices
  • Attend conferences and training provided by the landlord administrator.
  • Supplier & customer access management.
  • Liaise with external vendors and service providers for office-related needs, such as cleaning, general maintenance, and IT support.
  • Maintain confidential records and files, ensuring compliance with data protection regulations.
  • Ensure compliance with the regulations applicable to the facilities.

YOUR PROFILE
  • At least 3 years of work experience as a general office service administrator, overseeing and maintaining office spaces, facilities and services
  • Strong knowledge of NOM 035 and civil protection protocols
  • Experience in vehicle fleet administration
  • Ideal Bachelor’s Degree in Industrial Engineering, Administration or similar
  • Organization and communication skills
  • Highly attentive to detail
  • Positive attitude, patience, and persistence
