General Summary
Owns and leads accurate preparation, documentation, distribution, and reconciliation of payroll processing for USA and Canada employees. Administers payroll processing for: on-site/off-site employees (Hourly, Exempt), IM Foundation with emphasis on On-Site Event Workers workforce. Establishes process improvements, document monthly processes, and support ad-hoc financial analysis requests.
Principal Duties and Responsibilities
Essential Functions:
- Owner of all payroll responsibilities ensuring timely/accurate processing of payroll for all payroll groups.
- Ensure payroll is compliant with all Federal, State, and Local Labor Laws and in accordance with company guidelines/policy.
- Ensures the accurate processing of payroll activities and transmits via computerized software timely and accurately.
- Supports Corp HR Manager with preparation of tax filings and other reporting requirements.
- Troubleshoot Paylocity, Blue Marble issues and escalate when needed by having thorough knowledge and experience working with the payroll systems. Accurately calculate and maintain time off accruals for paid time off (PTO).
- Recommend and implement policies, procedures, and processes to continuously streamline and improve payroll processes and ensure compliance with corresponding laws and regulations.
- Run and review various payrolls monthly and quarterly reports (i.e., PTO accruals, new hires/terms, etc.) and ad-hoc reports upon request.
- Prepares and maintains forms, procedural manuals, and training manuals for payroll.
- Responds to and resolves any inquiries regarding paychecks or payroll reporting.
- Ensure timely completion of all pre-employment documentation, new hire paperwork, reference, and background checks.
- Build relationships and trust, respect, and partnership with end users by providing superior customer service.
- Partner with Mgr., NA Region Crewing in managing employment agreements and payroll processing for seasonal staff including accurate onboarding, offboarding.
Requirements
Skills and knowledge:
- Bachelor’s degree in business administration, Human Resources, Finance, or related field.
- Minimum of seven (7) years of payroll experience handling the full spectrum of a multistate payroll for 200+ employees in North America and Canada (50).
- Payroll Certification preferred.
- Ability to maintain confidentiality.
- Attention to detail and analytically driven in a fast-paced dynamic environment.
- Proven track record with managing payroll for fluctuating workforce (event/seasonal staff) preferred.
- Experience with federal, state, and local tax practices.
- Strong working knowledge of Department of Labor and other state and federal guidelines pertaining to payroll.
- Working knowledge of garnishments, child support, tax levy, etc.
- Partner with Garnishment vendor for accurate/timely processing.
- Experience with E-Verify.
- Possess strong organization, analytical skills, and detail oriented.
- Ability to consistently meet deadlines.
- Advanced computer skills (in programs such as MS Word, Excel & Outlook) to include formulas, create complex formulas, perform vlookups, countifs, conditional formatting, pivot tables, etc.).
- Must have excellent verbal, written and communication skills at an advanced level in a business environment to communicate throughout the organization and externally with organizations etc.
- Ability to work independently with limited supervision, multi-task and possess strong initiative.
- Time management skills with the ability to prioritize required.
- Ability to establish and maintain effective working relationships with management, vendors, and fellow employees.
- Ability to think logically, establish and follow procedures, instructions and make sound decisions.
- Ability to exercise independent judgment within established systems and procedures.
- Possess high energy level, comfortable performing multifaceted projects in conjunction with normal activities.
- Ability to work a flexible schedule, extended hours, holidays, and/or weekends as needed.
- Assists with training coworkers on payroll functions.
- Working experience with Paylocity and Blue Marble (Canada) including Time & Labor required.
- Work with Finance on General Ledger questions.
- Some experience within a different area of HR (Benefits, Recruiting etc.) desired.
