JOB SUMMARY: The Executive Assistant to the President job description includes tasks such as travel coordination, managing calendars, clerical work, and additional responsibilities at the request of the Executive. To be successful in this role, the candidate should be well-organized, have great time management skills, and be able to act without guidance. The candidate should also display high levels of loyalty and discretion and be able to interact with people of all levels in a confident, professional manner.
ESSENTIAL FUNCTIONS OF POSITION INCLUDE, BUT ARE NOT LIMITED TO THE FOLLOWING:
Answers executive’s calls, screens calls, and takes detailed messages.
Organizes mail and other executive paperwork, forwards to appropriate party and/or responds independently as appropriate calling attention to priorities.
Manage executive’s calendar by planning and scheduling meetings, conferences, teleconferences, and catering needs.
Assist with meetings and events as needed. Some meetings/events are after normal working hours.
Makes business travel arrangements and prepares detailed travel itineraries.
Acts as a gatekeeper to the President’s office.
Provides research and data pertaining to potential clients, locations, and any outside party per the Executive’s request.
Sends gifts, flowers, etc. to clients following meetings and events.
Assistance with personal tasks such as travel reservations and accommodations, family calendars, research, family gift purchases, etc.
Organizes receipts, scans and processes monthly expense reports and credit card statements.
Processes ticket requests for business and personal use during the baseball season.
Coordinates vacation schedules and track days outside of the office (vacation, personal, sick) for REV Entertainment.
Exercise independent judgment with respect to responsibilities and tasks delegated.
Other responsibilities as assigned.
PREFERRED QUALIFICATIONS:
Experience working in a fast-paced and highly confidential environment.
Excellent written and verbal communication skills.
Advanced Microsoft Office Skills (Outlook, Word, Excel, PowerPoint).
3 to 5 years Executive Assistant experience.
Detail-oriented with good organizational skills, ability to multi-task, scheduling, and experience with travel logistics.
Sound judgment and ability to tactfully exercise authority with respect to third parties as needed.
BA or BS Degree preferred.
Flexibility to work beyond normal office hours, when required.
