THE ROLE
The Events Sales Coordinator reports to the Director of Event Sales & Catering and is responsible for assisting the Event Sales team in generating revenue and driving sales for events hosted by View Boston. This role effectively assists the Event Sales Managers on all View Boston Private Events and Special Events business.
ESSENTIAL FUNCTIONS
- Assist with administrative tasks in booking View Boston Private Events and Special Events business, including, but not limited to, corporate, social, and marketing/promotional events.
- Assist in the execution of the sales process, including but not limited to the creation and execution of all sales materials and contracts, and management of billing and payments as they relate to events.
- In partnership with Event Sales Manager, prepares customized event proposals and contracts based on client requirements, budget constraints, and availability.
- Collaborates with internal teams such as catering, operations, IT/AV, F&B and marketing to develop comprehensive event plans that meet client expectations.
- Communicate event details and logistics to relevant stakeholders, including clients, catering, vendors, and on-site staff, to ensure smooth event experience.
- Assists with identifying potential clients and market segments for event sales through Triple Seat system, networking, and outreach efforts.
- Maintains accurate records of sales activities, client interactions and event calendars.
- Assists with booking Group Dine clients and coordinates with the Food & Beverage team on seamless execution.
- Serves as a primary point of contact for event clients throughout the event planning process, from initial inquiry to post-event follow-up.
- Build and maintain strong relationships with clients by providing exceptional customer service and addressing their needs and concerns promptly.
- Collaborate with the marketing team to develop promotional materials, sales collateral, and online marketing campaigns to drive event bookings.
- Assist clients with customer-service related inquiries.
- Conduct on- and off-site visits for prospective clients.
- Attend and document weekly event meetings.
- Perform other duties as assigned by View Boston Management.
QUALIFICATIONS
To perform this job successfully, the candidate must be able to perform each essential duty above at the highest levels. The requirements listed below are representative of the knowledge, skill, and/or ability required.
- Bachelor’s degree in business administration, Hospitality Management, Marketing, or related Event Sales field.
- Proven experience in event sales, sales, business development, or event management, preferably in the hospitality or events industry.
- Excellent communication and interpersonal skills, with the ability to build rapport and trust with clients. Diplomatic, tactful, customer-focused with a professional phone manner and ability to interact with a variety of clients.
- Highly organized and detail oriented, with ability to manage multiple projects and priorities simultaneously.
- Ability to work independently and manage time effectively.
- Proficiency in Triple Seat and SocialTables, Open Table software is a plus.
- Proficient in Microsoft Office and other sales/marketing tools.
- Flexibility to work evenings, weekends and holidays as required to accommodate client needs and events schedules.
