The Role
Assist the Manager, Building Services with the building support services for the USTA. Help ensure the safety, security, and sound operation of the facility.
- Ensure the maintenance and security needs of the facility are met and the mail room functions efficiently. The Building Services Associate shall assist with the department’s work load at the USTA’s headquarters.
- Coordinate with the Manager, Building Services to identify, and prioritize work assignments, repairs and special projects. Ensure the work is done on a timely, efficient and professional manner.
- Point person for all mailroom operation. Responsible for training new and temporary staff with mailroom functions. Keep Manager, Building Services informed of needed changes in the mailroom operation due to US Postal service requirements. Assist in documenting, changing and implementing said policies and procedures.
- When needed, maintain all supplies in the pantry areas including coffee, milk, tea and other related accessories.
- Ensure there is adequate mailroom inventory on hand to meet the needs of the organization at all times. Assist in ordering office supplies, postage for the Pitney Bowes mail machine, Xerox print material and any other supplies needed for the building operations. Provide tracking data for all orders when requested. Research, follow up on and bring to satisfactory conclusion all clients package claims.
- When necessary, assist other department members with the timely completion of assigned tasks and special projects including moving furniture.
- Process all incoming/outgoing US Postal mail, Fed/Ex, UPS and other parcels. Log and deliver same in a timely and professional manner.
- On occasion serve as courier for deliveries and pickups.
- When necessary, order pantry supplies and ensure drinking water filters are replaced by vendor in a timely manner. When necessary, contact vendors for recycling pick-ups and order First Aid Kit supplies.
- Maintain mailroom, all storage areas in a clean and organized manner at all times.
- Shall assist in the event of any building emergencies and weekend coverage as necessary.
- Assist Manager, Building Services with projects as directed.
- Assist in documenting policies and procedures for the department. Assist the Manager, Building Services with the creation of a Procedures Manual for Building Systems Operation.
- Serve as back-up receptionist for the front desk as needed basis.
- Coordinate and provide logistical and personnel support for all US Open, US open Series, annual and staff meetings, tournaments and special event’s needs in a professional manner.
- Maintain and manage tracking/shipping software, UPS, and FEDEX databases and periodically update. Administrator of FEDEX, UPS online shipping services for the USTA.
- Assist to reconcile and investigate un-coded shipping charges on USTA’s FEDEX, and UPS accounts with account receivable representative.
- Advise Manager, Building Services of all major issues and provides reports and data as the need arises.
- Assist building management team with the annual fire drills.
- Other duties as assigned
Who You Are
- Requires basic handyperson skills, ability to perform physical work- carry heavy loads, climb ladders, etc.
- Requires mailroom experience, familiarity with US Postal, Federal Express, UPS and other common carriers policies and procedures.
- Experience with Pitney Bowes mailing software and shipping equipment is strongly preferred.
- Must be computer literate and have Xerox and other copier equipment experience.
- Must possess a valid driver’s licenses and have a clean driving record.
- Customer service skills are a must.
- Upbeat and positive personality.
- Capable of working 9:00 a.m. to 5:00 p.m., Monday through Friday, with some flexibility for evenings/weekend for event support.
- This position is designated as "On-site position” at the Purchase, NY office.
- This position is non-exempt (eligible for overtime)
The expected range for the base salary for this position is $31,000 to $42,000. This range does not include any additional pay or benefits for which a person may qualify. The actual base salary offered is determined by several variables, including, as appropriate, the applicant's qualifications for the position, the years of relevant experience, their unique skills, and the location from which they will be performing the job.
